ERP Transformation at České lupkové závody
České lupkové závody is one of Europe’s leading processors of mica schist. As the company developed, its requirements for its enterprise information system also increased. The end of technical support for the older version of the ERP system Microsoft Dynamics NAV, which the company had been using, further confirmed the need for change and became an impulse for the decision to move to the cloud-based Microsoft Dynamics 365 Business Central solution.
The project was not just a technological change. Above all, it became an opportunity to improve processes across the entire organisation.
Migration from Microsoft Dynamics NAV to Cloud-Based Dynamics 365 Business Central
České lupkové závody had long been using the Microsoft Dynamics NAV enterprise information system and the earlier payroll and HR solution from Konica Minolta IT Solutions Czech. However, as technical support for older versions was gradually coming to an end, significant limitations began to emerge — from higher maintenance costs to increasing technological risks.
Changing the enterprise system was no longer a question of “if”, but “how”. After consultations with the Konica Minolta IT Solutions Czech team and an evaluation of all available options, the decision was made to migrate to Microsoft Dynamics 365 Business Central, the direct successor to NAV.
BA4 Czech Payroll Met the Requirements for Payroll and HR
As the company grew, so did the requirements for employee management and payroll processes. It was essential to ensure:
- reliable employee records,
- accurate payroll calculations,
- management of employment relationships,
- and a clear organisational structure.
The payroll and HR processes previously handled by the Payroll module in NAV were replaced within the project by a new version of BA4 Czech Payroll. The application is designed in line with Czech legislation and local business practice.
“We saw the move from Microsoft Dynamics NAV to Dynamics 365 Business Central as an investment in the future of our company. It was not only a matter of necessary modernisation, but also an opportunity to improve our processes, automate routine tasks and manage the company more effectively thanks to better data visibility. The change also included the subsequent deployment of the new Payroll and HR module, BA4 Czech Payroll, within this ERP platform.”
Ing. Renata Hajná, Chief Financial Officer at České lupkové závody
From On-Premises to Cloud Without Operational Disruption
Due to the significant technological differences and the time that had passed since the last version of the original NAV 2009 system was deployed, the migration to Microsoft Dynamics 365 Business Central had to be carried out as a reimplementation.
The entire project reflected partial changes in how the company operates, particularly new processes and capabilities resulting from the generational gap between the two systems. All steps were carefully planned and delivered so as not to disrupt the smooth operation of České lupkové závody.
The following key challenges were successfully addressed:
- Migration of extensive customer-specific customisations and their redesign for the modern Microsoft Dynamics 365 Business Central environment.
- Complex data migration from three separate companies, including careful planning, migration template preparation and multi-stage testing.
- Ensuring smooth business operations throughout the migration, without limiting key processes.
- Effective change management and targeted training, enabling users to move smoothly to the new ERP system and modern role-based interface.
- Gradual integration of payroll and HR processes and deployment of BA4 Czech Payroll so that it was fully aligned with the processes and structure of the new system.
Customer-Specific Customisations in Key Areas of the Enterprise System
The reimplementation from Microsoft Dynamics NAV to Microsoft Dynamics 365 Business Central, together with its extension by BA4 Czech Payroll, represented an important step towards modernising key processes across the entire organisation.
Customer-specific customisations were carried out in the following areas:
- Finance – modernisation of financial processes, work with banks and currencies, and support for legislative requirements.
- Fixed Assets – extended records and management of fixed assets.
- Sales and Trade – adjustments to sales processes, documents and integrations with external systems.
- Procurement – strengthened approval processes, automation and integration with DMS.
- Inventory – extended functionality for inventory management and material consumption.
- Transport – modernisation of journey records, costs and logistics reports.
- Payroll and HR – support for payroll and HR processes, including document automation.
